How Bespoke AI, a service provided by Bespoke Technologies, handles personal information.

Who we are and how to contact us

Bespoke Technologies provides Bespoke AI. In this policy, “we”, “us”, and “Bespoke AI” refer to Bespoke Technologies when it determines why and how your personal information is processed.

For a privacy question or a request about your information, use the Bespoke Technologies contact page. Please include the email address associated with your Bespoke AI account and enough detail for us to identify the request safely.

Information we handle

We handle information needed to operate an account and workspace. This can include your name, email address, sign-in method, verified phone information where required, and account or entitlement status.

We also process the content you choose to place in Bespoke AI, such as conversations, prompts, replies, project instructions, saved memory, uploaded files, and support requests. Avoid submitting information you do not have permission to share.

For reliability and security, we may process limited technical information such as request identifiers, error class, timing, browser or device signals, and security or rate-limit events. Our product-analytics configuration is designed not to capture chat bodies, prompts, file contents, complete private URLs, or IP enrichment by default.

When an answer depends on current information, Bespoke AI can search the web. To do this it sends a short search query to our search provider. It sends the query, not your message: your conversation, your files, your saved memory, your project instructions, and your account identity are not sent to the search provider.

Automatic search is on by default. You can turn it off in your profile settings, in which case Bespoke AI will search only when your message asks it to.

Research works differently. When you ask Bespoke AI to research something, the question you type is sent to our search provider as a search query, and when that finds little, a shortened version of it is sent as well. Bespoke AI uses what comes back to prepare a plan, and you see that plan before anything else is searched. You can change it: lines you add become search queries when you start the research, and lines you remove are not searched. Your conversation, your files, your saved memory, your project instructions, and your account identity are still not sent to the search provider.

Outside Research, Bespoke AI does not store search queries in its own systems. The pages a search returns are shown to you as sources and are kept with that conversation in your account, so an answer keeps its sources when you reopen it. A research question and its plan are kept in your account with the research, so you can see what was searched, and they are deleted when your account is deleted.

Our search provider, Serper, keeps a record of the queries sent from our account. Its privacy policy says it keeps most personal data for as long as that account exists, and it does not set a shorter deletion period for search queries.

Serper’s privacy policy describes using this information to operate its service, for billing, and for compliance. It does not describe using search queries to train AI models or selling them.

To return results, Serper passes the query to Google Search. Serper also shares information with service providers it relies on to run its business, such as for billing, security monitoring, and customer support, and requires them to keep it confidential. Our subprocessor record lists the providers involved.

Why we use information

  • to create and secure accounts, provide the workspace, and respond to requests you make;
  • to generate requested AI responses and preserve the workspace context you choose to keep;
  • to prevent abuse, investigate faults, protect the service, and meet applicable legal obligations;
  • to process support, billing, entitlement, and service communications;
  • to understand aggregate product performance without treating private workspace content as product analytics.

Where the Nigeria Data Protection Act 2023 applies, we use an appropriate lawful basis for the purpose involved, which may include performance of a service you request, consent, compliance with a legal obligation, protection of vital interests, or a legitimate interest balanced against your rights.

AI processing

Bespoke AI sends the prompts, inputs, and context necessary to produce a response through its configured AI infrastructure. Do not treat AI output as professional legal, medical, financial, or other regulated advice.

Provider-specific retention and model-training terms can differ. We do not make a blanket claim in this policy that every provider never uses submitted content for training. Material changes to the processing setup will be reflected in our AI transparency and subprocessor records before or when they take effect.

What Bespoke AI remembers about you

Memory is a short list of notes kept with your account, so you do not have to repeat yourself in every conversation. A note is either global to your account or held inside a single Project, and a Project note is not read in another Project or outside Projects.

You can read everything Bespoke AI has saved in Settings, under Personalization, then Memory. There you can correct a note, move it between global and a Project, delete one, delete all of them, export them as a file, or turn memory off. When an answer used memory, the answer says so and links to the notes it used.

Bespoke AI saves a note when you ask it to. "Allow Bespoke to learn from chats" is on unless you turn it off, and if you changed that setting before, your choice is kept. Where learning is available, Bespoke AI may save something you stated in a message, such as a preference or a fact about how you work, and tells you in the chat, with Undo. Something it only infers is not saved as a fact about you unless you say yes when it asks; an inferred preference may be kept as a low-confidence note, which you can see, correct or delete in Settings. Nothing is saved from a Temporary Chat. Bespoke AI learns from a teen account (13 to 17) as it does from an adult’s; an account that has not told us its age is not learned from until it does.

Preferences and constraints you saved or stated, such as how to spell or how to format an answer, are included with every answer in the chats they apply to, not only when they match your question, so they are followed consistently. Settings marks these notes "Always used". In a typed conversation, the assistant can also look up your saved notes when it judges they would change its answer; the words it looks up are sent to the same embedding model as your question.

Some things are refused. Passwords, access codes, API keys and payment card details are not saved, however they are given. Government identifiers, health, religion, political views, sexual life, a precise home address, and detail about other people are never saved automatically; they are kept only if you save them yourself, and are marked as sensitive when they are. This check is pattern matching rather than judgement, so it can miss something: treat it as a safeguard rather than a guarantee, and avoid putting information you would not want kept into a message you ask Bespoke AI to remember.

To find which notes are relevant to a question, Bespoke AI turns your question into a list of numbers using an embedding model, and compares it with the same for each saved note. Your question is sent to that model on every turn where memory is on, whether or not anything is found. Notes that match are included in the request for your answer, labelled as saved memory and as information rather than instructions. When you have turned on learning from chats, the message you sent is also sent, on its own, to a small model that proposes what might be worth remembering; your reply, the rest of the conversation, your files and your account identity are not sent with it. Our AI Transparency notice names the models involved.

Bespoke AI keeps a record of which notes were used for which answer, so a citation on an answer can be checked later. That record holds identifiers and scores, not the text of your memory or your question. A note you delete is removed, and a note that replaced an earlier one keeps the earlier value as history until you delete it. Everything memory holds is deleted with your account.

Search lets you find your own active Projects, saved chat titles, chat messages, Library items and completed Research reports. All eligible categories are included by default. In Settings → Search you can turn categories off. Search can find text from older chats as well as new ones after a staged index has been built. Temporary Chats, archived or deleted chats, deleted Projects and deleted files are excluded.

For chat-message search, Bespoke AI keeps a separate searchable copy of text from your messages and replies. It contains text, not attachments. Turning Chat messages off in Settings → Search deletes that copy; turning it on again rebuilds it in stages from eligible chats. The copy is deleted with its source or your account, and it is not added to your data export because the original messages are already there.

Workspace Search does not send your query or indexed chat text to our web-search provider. When you include Library items, a short search query may be sent through our AI gateway to the configured embedding model to find relevant indexed file passages by meaning; wording search still works if that service is unavailable. Chat-message Search itself uses local wording search and does not send your messages to an embedding model. Search results are for you to open and are not automatically added to an AI answer. The separate “Search and reference past chats” setting still controls whether Bespoke AI may use earlier conversations in an answer; turning on workspace Search does not turn that on.

Searching your earlier chats

If you turn on "Search and reference past chats", which is off until you turn it on, Bespoke AI can look through your earlier conversations when a question depends on something said in one of them. This is separate from memory. A saved note is something you chose to keep; an earlier conversation is a record of what was said at the time, which may since have changed, and it is treated that way.

To make earlier conversations searchable, Bespoke AI keeps a copy of each exchange once it has finished: the text of your message and of the reply, split into excerpts. Attached files are not included, very short exchanges such as a thank-you are skipped, and nothing is kept from a Temporary Chat. Only exchanges from after you turn the setting on are kept this way. Anything said before then is not added, even in a conversation you carry on afterwards.

Each excerpt is sent to the same embedding model that memory uses, which turns it into a list of numbers so that it can be found by its meaning as well as by its words. Our AI Transparency notice names that model.

Bespoke AI searches these excerpts only when your message refers to an earlier conversation, such as "what did we decide about the launch date?". It decides that with fixed wording rules rather than a model, so an ordinary message causes no search. When it does search, your question is sent to the embedding model to find matching excerpts. It looks only at conversations in the same place as the current one: inside a Project, that Project’s conversations; outside Projects, conversations outside Projects. It never searches the conversation you are in, or a conversation you have archived or deleted.

Up to four matching excerpts, no more than two from any one conversation, are included in the request for your answer, each with the title of its chat and when it was said, and labelled as information rather than instructions. The answer shows which earlier chats it read, quotes what it used from each, and links back to the conversation.

Bespoke AI keeps a record of which excerpts were used for which answer, so that you can check it later. That record holds identifiers and scores, not the text of your conversations or your question. If you later delete the conversation an excerpt came from, the answer no longer shows its words.

Turning the setting off deletes the copies kept for searching, and turning it back on starts again from your next exchange. Archiving or deleting a conversation takes it out of search at once, and its copies are erased when the conversation itself is erased. Everything is deleted with your account. The copies are not included when you export your data, because they hold nothing that is not already in the conversations the export contains.

Reading answers aloud

When you ask Bespoke to read an answer aloud in one of its voices (Aven, Luma or Veyr), we send the text of that answer to our speech provider, xAI, or to OpenAI if xAI is unavailable, through Vercel AI Gateway. It goes one sentence at a time, with code and tables described rather than read out. The provider turns it into audio and sends it back. We do not store the audio on our servers. Your device keeps a copy so that replaying an answer does not send it again, and that copy is deleted when you sign out.

Requests run on our own xAI account, where xAI’s zero data retention is on. If that account cannot serve a request, it may be retried on Vercel’s xAI account under xAI’s standard API terms: requests are kept for up to 30 days for abuse review and are not used for training without permission. If you choose Browser voice instead, your browser’s own speech service reads the text, under its terms.

Sharing and international transfers

We use carefully selected service providers to host, secure, operate, measure, and support Bespoke AI. Depending on the feature used, these providers may process information on our instructions or as independent controllers for their own services. Our public subprocessor record identifies the categories of service involved and will be updated when the material processing arrangement changes.

Some processing may occur outside Nigeria. Where an international transfer is involved, we will apply the safeguards and assessment required by applicable law for the particular transfer.

Retention and deletion

We retain account and workspace information for as long as it is needed to provide the service, maintain security, resolve disputes, meet legal obligations, or establish and defend legal claims. We aim to keep information no longer than necessary for those purposes.

An automated account-deletion workflow is not yet available. You may still ask us to review a deletion request through the contact route above. We will verify the request, explain any information we must retain, and respond in line with applicable law.

Your privacy choices and rights

Subject to applicable law and verification of your identity, you may have rights to request information about processing, access or correct personal information, object to or restrict certain processing, withdraw consent where consent is the basis, request portability, or request deletion. You may also raise a concern with the Nigeria Data Protection Commission where appropriate.

Security

We use technical and organisational measures designed to protect information, including authentication, server-side ownership checks, input validation, scoped access controls, and redacted operational telemetry. No internet service can guarantee absolute security, so keep your sign-in credentials private and tell us promptly if you suspect unauthorised account access.

Children

You must be 13 or older to use Bespoke AI. If you are 13 to 17, you may use it only with the agreement of a parent or guardian, which you confirm when you create your account. We record whether an account is for an adult or a teen, as you told us, and a teen account is handled more carefully: the AI models that answer a teen’s typed messages, write their documents and research for them, and read their messages to learn what to remember are chosen only under our stricter data settings (a spoken Live Voice conversation uses our voice provider, and saved notes are converted for search by our embedding provider, as our AI transparency notice describes), and a teen cannot create public links to their chats or documents. We do not knowingly keep an account for anyone under 13; if you believe a child under 13 has an account, contact us and we will remove it.

Cookies and similar technology

We use essential browser storage and related technology to support sign-in, security, preferences, and service continuity. Our Cookie Policy explains these technologies and the choices available as that policy is published.

Changes and version history

We publish legal documents as calendar versions. A change that materially alters legal meaning receives a new version, and earlier versions remain available for reference. The version and effective date at the top of this page identify the policy that applies.
